Administrative Services Manager – Infrastructure
About This Role
The Administrative Services Manager – Infrastructure is responsible for planning, organizing, directing, controlling and evaluating the administrative operations of Fengate’s Infrastructure division.
This role provides leadership and oversight of administrative services, operational coordination, vendor management, budgeting, compliance processes, and team supervision to ensure the efficient and effective functioning of the Infrastructure business unit.
The incumbent serves as the senior administrative leader for the Infrastructure division and is accountable for operational performance, process optimization, and administrative service delivery across the department.
Reports To: Managing Partner, Infrastructure
Key Responsibilities
- 1. Administrative Operations Management
- Plan, organize, direct and evaluate administrative services within the Infrastructure division
- Develop, implement and monitor administrative policies and procedures
- Establish operational standards and performance metrics for administrative functions
- Oversee document management, records systems, reporting processes and internal controls
- Ensure operational efficiency and continuous improvement of administrative workflows
- 2. Leadership & Staff Supervision
- Directly supervise administrative staff within the Infrastructure division
- Recruit, hire, onboard and train administrative personnel
- Assign work, set objectives, and conduct performance evaluations
- Provide coaching and professional development guidance
- Ensure adequate staffing levels to support business objectives
- 3. Budget & Financial Oversight
- Develop and manage the administrative operating budget for the Infrastructure division
- Monitor expenditures and approve administrative expenses within delegated authority
- Oversee procurement processes and vendor contracts
- Negotiate service agreements and manage third-party relationships
- Ensure cost controls and financial accountability
- 4. Strategic & Operational Support
- Participate in Infrastructure leadership meetings and contribute to operational planning
- Provide analysis and reporting to support executive decision-making
- Oversee preparation and coordination of board and investor materials
- Manage cross-functional administrative projects and operational initiatives
- Ensure alignment between Infrastructure operations and corporate policies
- 5. Governance & Compliance
- Ensure compliance with internal governance frameworks and regulatory requirements
- Maintain confidentiality and data security standards
- Support audit processes and documentation management
- Oversee risk mitigation practices within administrative operations
- AUTHORITY & ACCOUNTABILITY
- The Administrative Services Manager has delegated authority to:
- Supervise and manage administrative personnel
- Approve administrative expenditures within assigned budget limits
- Enter into vendor/service agreements within scope of responsibility
- Implement departmental administrative policies and procedures
- The role is accountable for the performance and effectiveness of the Infrastructure division’s administrative operations.

Qualifications
- Minimum secondary/high school graduation required
- Minimum 7–10 years of progressive administrative experience, including supervisory experience
- Demonstrated experience managing staff and operational budgets
